Media Notice

How photography, filming and recording may be handled at Hyacinth Harley Ventures events, programs and private experiences.

1. Why this notice exists

Hyacinth Harley Ventures may photograph, film or otherwise document certain public or live events for communications, educational, archival or promotional purposes. This notice explains the general approach. It does not replace separate permissions where those are appropriate.

2. Public and live events

At public or live HHV events, photography or filming may occur where notice has been provided. We may capture general room, stage, audience or atmosphere footage. Where reasonably feasible, we will provide a way for an attendee to raise a concern or request not to be intentionally featured.

3. Interviews, testimonials and dedicated shoots

Being interviewed, giving a testimonial, participating in a dedicated portrait or video shoot, or being intentionally featured in promotional content is different from incidental event coverage. HHV will seek separate permission where appropriate for these uses.

4. The Activation Room and private groups

Participation in The Activation Room or another private HHV group does not, by itself, grant blanket permission for a participant’s image, voice, personal story or private session contributions to be used in public marketing.

If HHV wishes to feature a participant, testimonial or identifiable private-group contribution publicly, separate permission will be sought as appropriate.

5. Participant recording

Participants should not photograph, record, livestream, screenshot or publish private sessions or another person’s contribution without permission. Additional confidentiality and recording rules may appear in the applicable Participant Agreement or Code of Conduct.

6. Minors

HHV’s website, programs and services are intended for adults age 18 and older. If an HHV event separately permits minors to attend, media permissions involving minors should be handled through event-specific procedures and an appropriate parent or legal guardian where required.

7. Media questions or concerns

If you have a question about event photography or believe HHV has published an image or recording involving you that raises a reasonable privacy concern, contact us with enough information to identify the material.
